Job Overview – Office Manager (Financial Services):
Compensation: $90,000 – $100,000/year + bonus
Location: New York, NY
Schedule: Monday to Friday (In-Office)
Lead office operations as an Office Manager with our client, a financial services firm in New York, NY. This in-office role oversees administrative functions, supervises front desk staff, manages resources, and supports leadership with scheduling, reporting, and projects. You will also maintain inventory, coordinate meetings in Outlook and Zoom, and handle facilities and catering needs. Ideal candidates offer strong organizational skills, excellent communication, and advanced proficiency in Microsoft Office and Concur.
Responsibilities as the Office Manager (Financial Services):
- Team Leadership: Supervise and delegate daily tasks for administrative staff and reception, ensuring smooth office workflow.
- Office Operations: Oversee opening/closing procedures, maintain reception and communal areas, and manage daily office functionality.
- Resource & Vendor Management: Order and track office supplies, snacks, and business materials while coordinating with vendors to ensure compliance.
- Administrative Support: Provide support to the Chief of Staff and leadership team through scheduling, expense reporting, and ad hoc projects.
- Scheduling & Meetings: Manage Outlook and Zoom invites, book conference rooms, coordinate internal/external meetings, and arrange catering for events.
Qualifications for the Office Manager (Financial Services):
- Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Experience: 5-10 years of office management or administrative leadership experience in financial services, legal, or professional services environments.
- Technical Skills: Advanced proficiency in Microsoft Office (Excel, PowerPoint, Outlook), with familiarity in Concur preferred.
- Skills & Attributes: Strong organizational and multitasking ability with excellent communication and interpersonal skills to work effectively with staff and external partners.
- Industry Knowledge: Background in managing office operations, staff supervision, and vendor coordination within professional services settings.
