Job Overview – Office Administrator (Financial Services):
Step into a dynamic role with our client as an Office Administrator in New Rochelle, NY. This hybrid position is pivotal in ensuring the seamless operation of a fast-paced financial services office. You’ll oversee administrative functions, support team members, and contribute to event coordination and financial processes while fostering a collaborative office environment.
Compensation: $85,000 – $100,000/year + bonus
Location: New Rochelle, NY
Schedule: Monday to Friday, 9:00 AM to 5:00 PM (Hybrid)
Responsibilities as the Office Administrator:
- Administrative Support: Provide comprehensive administrative assistance to ensure smooth office operations.
- Reception & Office Management: Welcome visitors, manage mail and shipments, and maintain an organized and professional office environment.
- Calendar & Travel Coordination: Manage calendars, schedule meetings, and assist with travel arrangements for team members and board directors.
- Office Supplies & Meals: Manage office supplies, snacks, beverages, and team meal orders (Monday-Thursday).
- Event Planning: Organize networking events, investor meetings, offsites, team outings, and holiday parties.
- Financial Assistance: Record vendor invoices and payments, manage expense allocations, confirm wire transfers, and assist with tax filings and payments.
Qualifications for the Office Administrator:
- Education: Bachelor’s degree in Business Administration, Management, or a related field.
- Experience: 4-10 years of Administrative experience in the Financial Sector, with a proven track record of supporting high-performing teams.
- Skills: Strong organizational, multitasking, and communication skills, with a proactive, detail-oriented, and professional approach.
- Technical Proficiency: Proficient in Microsoft Office Suite, with familiarity in QuickBooks, Concur, and platforms like Zoom, Slack, and Salesforce.
