Job Overview – Office Administrator:
Compensation: $20 – $27/hour

Schedule: Monday to Friday (In-Office)

Our client is seeking a detail-oriented Office Administrator in Newark, NJ to support invoicing, logistics, and daily administrative operations in a fast-paced office setting. Ideal candidates bring experience with QuickBooks, EDI processes, and office coordination. Responsibilities include managing billing, preparing shipment documentation, handling customer communication, and ensuring smooth day-to-day workflow.

Responsibilities as the Office Administrator:

  • Invoicing & Payment Processing: Prepare and issue accurate invoices, reconcile payments, and resolve billing discrepancies in a timely manner.
  • EDI & ASN Management: Ensure timely submission of EDI documents and ASNs with accurate shipment details and consistent data integrity.
  • Order & Record Maintenance: Track and organize order records, shipment confirmations, and financial documentation to support compliance and audits.
  • Customer & Vendor Coordination: Communicate with customers, suppliers, and logistics teams to manage order statuses, shipping schedules, and resolve inquiries.
  • Administrative Support: Perform general office duties including document preparation, data entry, and correspondence handling.

Qualifications for the Office Administrator:

  • Education: High school diploma required.
  • Experience: 2+ years in administrative, clerical, logistics, or invoicing roles, preferably in a product-based or logistics-focused company.
  • Technical Proficiency: Proficiency in QuickBooks is required, along with experience in Microsoft Office and data entry software, and the ability to quickly learn internal systems.
  • Industry Knowledge: Experience with EDI platforms, ASN processing tools, and invoicing systems is preferred.
  • Skills & Attributes: Highly organized and detail-focused with excellent communication, time management, and problem-solving skills.
