Title of Position: Executive Assistant
Pay Rate Range: $25-40/hr
Location: New York City (Midtown)
The Atlantic Group has partnered with a large asset management firm in the New York City area. They have an immediate need for an Executive Assistant to join their team. This position is a full-time contract role with the opportunity to become permanent based on performance.
Job Responsibilities:
- Schedule and manage demanding calendars.
- Supervise general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- Prepare agendas and make arrangements for committee, board and other meetings.
- Make arrangements for travel, planning meetings, etc.
- Review and approve invoices, reports, memos, letters, financial statements, and other documents.
- Review and approve corporate documents, records, and reports.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Handle and maintain highly confidential and sensitive information.
Skills:
- Verbal and written communication skills, multitasking, customer service skills and interpersonal skills.
- Strong ability to work independently and manage one’s time.
- Strong ability to keep information organized and confidential.
- Strong ability in event planning.
- Strong leadership and mentoring skills necessary to provide support and constructive performance feedback.
Education/Experience:
- 3+ years of experience required.
- Bachelor’s Degree required.
- Experience within financial services strongly preferred.
- Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.
- Previous experience with Concur preferred.
- Must have experience managing projects and workflow.
- Experience working with executives required.
