Job Overview – Executive Office Manager
Compensation: $90,000 – $100,000/year + bonus
Location: New York, NY
Schedule: Monday to Friday (In-Office)
Atlantic Group is hiring an Executive Office Manager in New York, NY for our client, supporting office operations, executive administration, team coordination, and day-to-day business needs within a financial services environment. This role will manage workplace logistics while providing administrative support across multiple functions and serving as backup to other administrative professionals. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable taking ownership of a broad range of responsibilities.
Responsibilities as the Executive Office Manager:
- Office Operations: Manage daily workplace needs, including supplies, facilities coordination, mail, deliveries, vendors, catering, and general office organization.
- Executive Support: Assist leadership and team members with calendar management, meeting coordination, expense reporting, document preparation, and administrative requests.
- Technology Coordination: Support office technology and equipment needs while coordinating troubleshooting and service requests with external IT providers.
- Team Coverage: Provide backup administrative coverage and assist with scheduling, communications, and workflow needs during absences or periods of increased activity.
- Meeting & Event Support: Coordinate logistics, materials, catering, and other arrangements for internal meetings, business events, and team activities.
- Business Support: Maintain organized business materials and records while assisting with investor communications, presentations, and ad hoc projects.
Qualifications for the Executive Office Manager:
- Education: Bachelor’s degree or equivalent combination of education and relevant experience is required.
- Experience: 2+ years of administrative, office management, or executive support experience is required, preferably within financial services or another professional services environment.
- Industry Knowledge: Experience supporting a fast-paced professional office is preferred, with exposure to investment management or financial services a plus.
- Technical Skills: Proficiency with Microsoft Word, Excel, PowerPoint, and common administrative systems is required, with experience using CRM, expense management, or office management platforms preferred.
- Skills & Attributes: Excellent organizational, communication, problem-solving, and multitasking skills with strong attention to detail, a collaborative approach, and willingness to support a wide range of executive, team, and office needs.
