Job Overview – Executive Assistant & Office Manager (Temporary):
Compensation: $35 – $40/hour
Location: Montgomery County, PA
Schedule: Monday to Friday (Hybrid)
Atlantic Group is hiring an Executive Assistant & Office Manager (Temporary) for our client in Montgomery County, PA. In this temporary role, you will support executive leadership with calendar management, travel coordination, expense processing, and key administrative tasks. You will also manage office operations, facilities coordination, vendor relationships, and Contract Logix workflows. Strong organization, confidentiality, attention to detail, and Microsoft Office proficiency are required.
Responsibilities as the Executive Assistant & Office Manager:
- Executive Support: Manage complex calendars, travel, meetings, and priority alignment for the CEO and CCO while handling confidential information with discretion.
- Meeting & Event Coordination: Plan and execute logistics for board meetings, leadership sessions, national sales meetings, and external stakeholder engagements.
- Project & Administrative Management: Track key initiatives, manage executive deliverables, process expenses, schedule meetings, and generate contracts and purchase orders.
- Contract & Office Operations: Oversee Contract Logix workflows, maintain office supplies, manage mail and visitor check-ins, and ensure smooth daily office operations.
- Facilities & Culture Management: Liaise with building management, coordinate maintenance, issue badges, maintain floorplans, and support site culture through events and engagement activities.
Qualifications for the Executive Assistant & Office Manager:
- Education: Bachelor’s degree preferred.
- Experience: 3+ years supporting senior executives, with additional experience in office management or facilities coordination.
- Technical Skills: Proficient in Microsoft Office Suite and platforms like Teams and Zoom, with experience in contract management systems (Contract Logix or similar) preferred.
- Industry Knowledge: Familiarity with executive support processes, office administration procedures, and facilities coordination best practices.
- Skills & Attributes: Highly organized, detail-oriented, proactive, and discreet professional with strong communication and multitasking abilities in fast-paced environments.
