Job Overview – Executive Assistant (Construction):
Compensation: $80,000 – $110,000/year + bonus
Location: Philadelphia, PA

Atlantic Group is hiring an Executive Assistant (Construction) with our client in Philadelphia, PA. This on-site role supports senior leadership through scheduling, project coordination, documentation, and client/subcontractor communication. You’ll help manage daily operations across multiple construction projects, with construction or project coordination experience strongly preferred.

Responsibilities as the Executive Assistant (Construction):

  • Executive Support: Manage calendars, meetings, travel, priorities, and daily workflow for senior leadership in a fast-paced construction environment.
  • Project Coordination: Assist with project documentation, meeting minutes, RFIs, submittals, proposals, and tracking across active projects.
  • Client & Subcontractor Communication: Serve as a professional point of contact for clients, subcontractors, vendors, and internal project teams.
  • Administrative Operations: Organize files, prepare presentations, process expenses, maintain documentation, and support day-to-day office operations.
  • Construction Documentation: Support preparation of contracts, permits, change orders, job site packets, and project updates.

Qualifications for the Executive Assistant (Construction):

  • Education: Bachelor’s degree in Engineering, Architecture, Construction Management, or related fields preferred.
  • Experience: 2+ years of administrative, project coordination, or project engineering experience in construction or real estate development.
  • Technical Skills: Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint), with familiarity in construction software such as Procore, Bluebeam, or similar tools preferred.
  • Industry Knowledge: Understanding of construction workflows, documentation, subcontractor coordination, and project lifecycles preferred.
  • Skills & Attributes: Organized, detail-oriented, proactive, and reliable, with strong communication skills and the ability to manage multiple priorities in a fast-paced construction environment.
