Job Overview – Executive Legal Assistant:
Take on a pivotal role as an Executive Legal Assistant with our client in Philadelphia, PA, providing high-level support to the Managing Partner and a team of litigators. This in-office position blends administrative expertise with legal acumen, ensuring smooth operations, seamless client interactions, and efficient case management within a dynamic law firm environment.
Compensation: $65,000 – $85,000/year + bonus
Location: Philadelphia, PA
Schedule: Monday to Friday, 9:00 AM – 5:00 PM (In-Office)
Responsibilities as the Executive Legal Assistant:
- Executive Support: Manage the Managing Partner’s calendar, travel arrangements, and inbox with attention to detail and discretion.
- Client Management: Coordinate with clients, colleagues, and external parties via email, phone, and video conferencing platforms.
- Document Management: Prepare and maintain legal documents, track case deadlines, update dockets, and assist with trial logistics.
- Billing Oversight: Track billable/non-billable hours, manage client matters, conduct conflict checks, and ensure file maintenance.
- Office Coordination: Oversee building operations, handle contractor management, and use project tools to streamline workflows.
- Trial Support: Assist with deposition arrangements, court reporting logistics, and scheduling to ensure seamless trial preparation.
Qualifications for the Executive Legal Assistant:
- Education: Bachelor’s degree in Business Administration or Legal Studies required.
- Experience: 10 years in a law firm as an Office Manager or Executive Assistant, with a focus on litigation and corporate law.
- Technical: Proficiency in Microsoft Office Suite (Excel and Word), with expertise in legal compliance, filings, and law firm operations.
- Skills & Attributes: Strong organizational, analytical, and communication skills, with the ability to manage tasks independently and collaboratively.
- Certifications: Notary certification is preferred but not required.
