Job Overview – Legal Office Manager & Bookkeeper:
Step into a multifaceted role as a Legal Office Manager & Bookkeeper with our client, a prestigious law firm in Philadelphia, PA. You’ll oversee financial operations, administrative processes, and personal financial management for the Managing Partner while supporting a team of ten trial attorneys.

Compensation: $65,000 – $85,000/year + bonus
Location: Philadelphia, PA
Schedule: Monday to Friday, 9:00 AM – 5:00 PM (In-Office)

Responsibilities as the Legal Office Manager & Bookkeeper:

  • Financial Oversight: Manage accounts payable/receivable, prepare balance sheets and income statements, handle year-end closings, and ensure accurate tax filings.
  • Payroll Management: Track and submit bi-monthly payroll, maintain records, and distribute W-2s and 1099s.
  • Billing & Expense Tracking: Oversee client billing, allocate expenses, and monitor attorney billable/non-billable hours weekly.
  • Reporting: Reconcile bank accounts, analyze cash flow, prepare financial statements, and provide insights to optimize profitability.
  • Contract Management: Maintain and renew contracts and insurance policies, including liability, cyber, property, and malpractice insurance.
  • Compliance & Licensing: Track CLE compliance, manage state license renewals, and maintain vacation/sick leave records for attorneys.

Qualifications for the Legal Office Manager & Bookkeeper:

  • Education: Bachelor’s degree in Finance, Accounting, or Business Administration required.
  • Experience: 8 years of experience in Bookkeeping and Accounting required, with proficiency in QuickBooks or PeachTree and legal platforms like TABS (or equivalent).
  • Technical Skills: Advanced skills in Microsoft Office Suite (Excel and Word) and payroll/financial management software.
  • Skills: Strong organizational, analytical, and interpersonal abilities, with expertise in financial analysis, benefits management, and tax compliance.
