Hiring now for a Senior Office Administrator to join the team of a major financial fund services company on the main line. Experience with office management will lead to success in this role. You will collaborate closely with internal stakeholders and cross-functional teams to support business operations and achieve company goals. The ideal candidate will have strong attention to detail, organizational ability, and a customer service mindset.

Responsibilities:

  • Coordinate with building contractors for facility services (eg. HVAC, electrical, light bulb changes).

  • Process incoming and outgoing mail and courier shipments.

  • Maintain accurate inventory control checklists with up-to-date item codes, descriptions, locations, and pricing

  • Control distribution of specialty or bulk supplies, recording inventory counts

  • Place orders through phone, email or web using the Purchase Order Log procedures

  • Log inventory invoices

  • Organize, set up, and oversee desk moves.

  • Assist with key control distribution.

  • Train new and existing Team Members.

  • Assist with internal audits of inventory, floor plans or physical assets

Qualifications:

  • Microsoft Office Suite and Outlook skills

  • Experience with facilities coordination and office equipment function

  • Experience working in a professional services office environment 

  • College degree preferred
