Compensation:
- $45-55/hour
- 4-6 month assignment
- Monday-Thursday, 8:30 am-5:30 pm, with the ability to work from home on Fridays
Job Overview
Our client is seeking a highly organized and detail-oriented Senior Executive Assistant to support two senior executives at the firm with all administrative needs. This highly visible role will interface with senior leadership, clients, and all employees at various levels of the organization.
Responsibilities
- Maintain Outlook calendar and manage executive’s day-to-day scheduling
- Manage the planning and logistics for meetings/calls, ensuring there is preparation for each
- Maintain an updated “to-do” list that includes action items, meetings, phone calls, emails, and follow-ups
- Plan and coordinate complex domestic/international travel arrangements
- Assist with special projects and events, as necessary
- Assist executive with personal tasks including but not limited to:
- Family Vacations – Coordinate airfare, car rental, accommodations, restaurant reservations, sightseeing
- Family Scheduling: Interact with a spouse of executive regularly to ensure that personal and professional calendar do not overlap, track school and sports events for the children, and manage the spring events calendar
- Family Health Care – Manage health insurance claims and FSA reimbursements
- Entertainment Planning – Procure event tickets, make dinner reservations, plan parties/events, give gifts
- Family Administration: Manage personal family contact list, keep up-to-date records of charitable giving, liaise with family accountant as necessary, action bill payment as necessary, sort and direct family mail
Qualifications
- Bachelor’s degree with a minimum of eight (8) years in position offered within a corporate or professional services environment
- Experience booking domestic/international travel, planning, and managing itineraries
- Excellent verbal and written communication skills
- Advanced level of proficiency in Microsoft Office applications
- Excellent project management skills with the ability to execute, meet deadlines, and work with a sense of urgency to deliver high-quality and accurate results with excellent attention to detail
- Ability to anticipate needs and be highly responsive to requests or changes; must demonstrate the flexibility to adjust, as necessary, to executive’s changing schedule and needs
- Proactive problem-solving skills, with the ability to take the initiative to communicate problems and propose solutions as appropriate
- Demonstrated sense of discretion and confidentiality, exhibiting superior judgement while handling sensitive information
