Compensation: $115,000-$125,000 + bonus

Seeking a seasoned and highly professional law firm office manager to oversee the administration of the offices and develop and implement human resource programs for the attorneys and staff.

Highlights About the Company & Position:

  • Work cooperatively and collaboratively with Executive Committee, partners, and Finance Department to meet management goals, and to develop and implement firm-wide initiatives and programs in multiple offices.
  • Plan, lead, monitor, and manage the workflow of the firm’s employees to ensure productivity and compliance with the firm’s policies, procedures, and guidelines.
  • Serve as the firm’s HR resource in matters pertaining to hiring, orientation, leave and personnel matters, terminations, on/off-boarding, compliance, leadership development, and organizational learning and training.
  • Serve as a primary point of contact for inquiries, complaints, and other personnel matters raised by staff.
  • Maintain and update the firm’s Employee Handbook.
  • Ensure staffing levels are appropriate and that support processes are efficient and cost-effective.
  • Oversee annual staff performance evaluations.
  • Manage all vendor relationships, including competitive bidding, purchasing, and vendor contracts.
  • Assist Executive Committee in maintaining appropriate insurance coverage, including professional liability, cyber security, and health insurance programs.
  • Oversee the maintenance of office machines, computers, phone systems, and office, sanitary, and kitchen supplies.
  • Oversee reception, copy and other office services, information technology, and mail functions.
  • Work with the firm’s IT consultants to ensure the firm’s hardware and software are licensed and maintained appropriately and are current, secure, and meet the firm’s needs.
  • Promote compliance with the firm’s policies governing document retention, destruction, and confidentiality.
  • Foster a professional atmosphere, high standards of professional work by staff, and protection of client confidentiality.
  • Assist management in maintaining the firm’s website and implementing an effective marketing program.
  • Assist in ensuring that all legal professional obligations, including filings and continuing legal education compliance, of the firm and its attorneys are being satisfied.
  • Discharge other duties as assigned by the firm’s Executive Committee.

Requirements/Qualifications:

  • More than five years of law firm management experience and a bachelor’s degree are required.
  • Demonstrated expertise in human resource matters and knowledge of state and federal rules pertaining to hiring, leave, terminations, and other personnel matters.
  • Excellent written and verbal communication skills and organizational skills.
  • Ability to work individually in a self-directed manner, and as part of a team with a wide range of responsibilities, while protecting the confidential information of clients and the members of the firm.
  • Strong time management skills with the ability to handle multiple concurrent assignments with a high degree of efficiency, accuracy, discretion, and professionalism.
  • Proven interpersonal, supervisory, and team-building skills.
  • Demonstrated leadership skills and ability to be a proactive manager.
  • Strong attention to detail and excellent problem-solving and organizational skills.
  • Proficient in Microsoft Office applications and familiarity with and/or willingness to learn other platforms and databases.
