Position Overview – AP Specialist:
The Accounts Payable (AP) Specialist position, based in Boston, Massachusetts, offers an exciting opportunity to contribute to the financial operations of our client's company. The successful candidate will be responsible for efficiently managing the accounts payable process, ensuring accurate and timely payments to vendors and employees. 

Compensation: $145,000.00 – $165,000.00 + bonus
Location: Boston, Massachusetts

Responsibilities as the AP Specialist include: 

  • Processing and reviewing invoices, and handling ACH/wire/check payments to vendors and employees of the company
  • Ensuring accurate classification and entry of payments in NetSuite
  • Coordinating with external partners, such as LeverPoint, to ensure timely delivery of supporting documentation
  • Overseeing accounts payable and T&E expense report processing, providing assistance during peak times and for emergency payments
  • Collaborating with external consultants, executive assistants, and suppliers to resolve discrepancies and obtain missing information on invoices and expense claims
  • Assisting in the preparation of semi-monthly payroll and bonus payments across multiple offices in the US
  • Reviewing and reconciling vendor statements to confirm receipt of all invoices
  • Responding to payment and general AP inquiries, resolving matters with accuracy and efficiency
  • Maintaining thorough and accurate files and documentation in compliance with company policies and accounting practices
  • Reviewing and processing travel and expense reports
  • Verifying, remitting, and finalizing the transmission of employee deductions for the 401(k) & FSA Plan
  • Setting up new vendors in the system and verifying vendor payment details
  • Supporting month-end close by preparing journal entries and balance sheet reconciliations, and meeting month-end closing deadlines
  • Assisting the Accounts Payable Manager and the Financial Administration department on miscellaneous/ad-hoc projects

Qualifications of the AP Specialist include:

  • Bachelor's degree in Accounting, Finance, or a related field
  • 2-4 years of experience in accounts payable and financial administration
  • Proficiency in accounting software, including NetSuite
  • Strong organizational and communication skills
  • Ability to manage multiple tasks and meet deadlines
