Responsibilities

 

  • Has working relationship with: Ownership, Accountant, Engineering ,Building Staff
  • Has external contact with: Occupants/Tenants, Tenant prospects, General contractors, Space planners, designers, and engineers
  • Maintain file systems for the management office. Both electronic and hard copy; Tenant Files – Maintain and establish master lease files; Vendor Files – Maintain and establish vendor files
  • Monitor tenant relations. Communicate consistent problems to Property Manager.
  • Draft correspondence at direction of Property Manager on various matters pertaining to property management for signature by Property Manager.
  • Assists Property Manager in rent collections through preparation of standard correspondence and obtaining aging reports.
  • Manages check log, batch checks and makes all bank deposits. Provides copies to Building Manager and Accountant.
  • Vendor Invoices – Codes all invoices and obtains written approvals from Property Manager or Ownership.
  • Manages Vendor files
  • Prepares and Manages contracts for motion picture licenses.
  • Manages stacking plan and floor plans.
  • Assists Ownership with leasing requests, space showings and revenue opportunities.
  • Conduct building tours as needed – show space to potential tenants.
  • Coordinate occupant/tenant move-ins with freight and cleaning so that tenant spaces are clean prior to occupancy.
