Administrative Receptionist

Responsibilities

 

  • Maintain front desk, answer main line and direct calls accordingly
  • Provide backup phone support for 8 partners’ phone lines
  • Email Greenwich office team when group lunches arrive and direct the lunches to be dropped off in the kitchen
  • Manage conference room calendars in Outlook
  • Direct guests to assigned conference rooms
  • Assist in setting up/breaking down onsite meetings with catering orders
  • Fill printers with paper
  • Assist with group catering lunch
  • Sort daily mail/courier deliveries and distribute
  • Prepare outgoing FedEx shipments and schedule pick ups
  • Work on special projects with various departments as needed.
  • Provide coverage for Partner who is Head of Marketing & Investor Relations in areas of phone coverage; calendar management, travel preparation, and expense management
  • Meeting management and scheduling for external clients, prospects, vendors and internal employees
  • Marketing material preparation
  • Client Relationship Management system administration
  • Assist in monitoring Investor Relations inbox and cover corresponding phone line
  • Provide backup for two executive assistants

 

Requirements

 

  • 4-year degree required
  • Working knowledge of Microsoft Office
  • Professional appearance and disposition
