Responsibilities

 

  • Consistent and accessible point of contact, dealing with incoming telephone calls ensuring messages are transmitted or the caller is transferred to the appropriate team member in a timely manner
  • Greet all clients and customers on our floor including liaison with building main reception, sign in and out all visitors on our floor
  • Coordinate internal and client meetings, book meeting rooms, arrange video conferences; liaise with group companies offices for inter-company meetings and video conferences
  • Prepare and tidy meeting rooms up before and after each meeting, arrange hospitality catering when required;
  • Report and follow up on the progress of any facilities related issues to the building management company or sub-contractor
  • Prepare PowerPoint presentations, edit, update and file company documentation
  • Prepare and distribute meetings documentation as and when required
  • Update Reception Manual frequently with every change
  • Provide administrative assistance to members of staff where necessary
  • Data entry, photocopying, scanning, presentation printing and binding.
  • Assist with preparation of expenses reports in accordance with company travel and expenses policy if necessary
  • Prepare weekly summary updates for the manager.
